Redesign checklists for speed, implement QA workflows, and automate completion tracking

Overview

Checklists are central to every order processed by FTS staff. The current checklist UX requires too many clicks and decisions per item. This feature group covers the checklist redesign, QA checklist implementation, and automated checklist updates from related actions (like RFI completion).

Business Value

The checklist is the single most-used interface element in the FTS admin portal. Even small improvements in checklist interaction speed compound across thousands of orders. A well-designed checklist that auto-completes based on document status and RFI responses can cut processing time per order significantly.

Checklist Redesign

Current checklist UX

Redesign the checklist interface to be a brief tick-box option that speeds up the process for FTS staff. The current checklist workflow requires too many interactions to mark items complete. The goal is to reduce the number of clicks required to process a standard order.

This has been discussed extensively and a catalogue of next-gen requirements has been built by the team.

QA Checklist

QA checklist

Complete and implement the QA checklist workflow. This provides a structured quality assurance step in the order processing pipeline. Refer to existing Trello card for detailed requirements (dated 27 March).

Checklist Content Update

Review and update all checklists to reflect current workflows and operational requirements. Existing checklists may contain outdated items or be missing steps that have been added to the process since they were originally created.

Automated Checklist Updates

When RFIs are duplicated or completed, the corresponding checklist items should automatically update to reflect the new status. Currently this is a manual step that creates a risk of items being missed.
